The Ultimate Productivity Workshop will take you through the process of building a complete, connected productivity system.

We will begin with the foundation: your time.

From there, we will organise your tasks, create a practical way to manage email and communications, and bring everything together through simple daily and weekly planning.

By the end of the workshop, you will have a system that shows you:

  • What needs your attention today

  • When you have time to do your important work

  • Where new tasks and requests belong

  • How to prevent email and messages from taking over

  • What to review each day and week

  • How to keep your system working when life becomes busy

This is not about squeezing more work into every available minute; that does not work and is likely the underlying cause. It is about creating enough structure to make good decisions, protect your time and finish the work that matters—without feeling permanently behind.

Your journey through the workshop

Stage One: Reclaim control of your time

Most productivity systems begin with a task list. That is, surprisingly, the wrong place to begin.

A task list can show you everything you could do, but it cannot tell you whether you have enough time to do it. When you repeatedly plan more work than your available time allows, overwhelm is inevitable.

We will begin by building the time-based foundations of your system.

You will learn how to:

  • Design a “perfect” week framework around your real responsibilities

  • Use time blocking without making your calendar rigid

  • Protect time for focused and important work

  • Build balance and recovery into your week

  • Distinguish between what must be done and what could be done

  • Make realistic decisions about your capacity

The objective is not to account for every minute. It is to see your time clearly enough to make better choices.

Stage Two: Organise your work

Once the foundations are in place, we will turn to your tasks and projects.

You will learn how to organise your work so that your task manager gives you useful information instead of presenting you with one enormous, intimidating list.

We will work through:

  • The COD (Collect, Organise and Do) framework

  • Organising tasks by when you intend to act

  • Separating task management from project management

  • Using a holding pen for work that is not yet actionable

  • Reducing recurring backlogs

  • Identifying what genuinely matters today

The result will be a task system you can trust, and that helps you make decisions, rather than repeatedly reminding you how much remains unfinished.

Stage Three: Bring your communications under control

Email and messages are among the largest sources of disruption in modern work.

The solution is not to respond faster. It is to create a dependable process for deciding what requires action, what can wait and what no longer deserves your attention.

You will learn:

  • The Inbox Zero 2.0 approach

  • How to process new messages without constantly monitoring your inbox

  • How to separate communication from actionable work

  • How to manage messages that require a later response

  • How to prevent email from becoming another task manager

  • How to process incoming work efficiently and consistently

You will leave with a communications process that keeps you responsive without requiring you to remain constantly available.

Stage Four: Make the system work every day

A productivity system is only useful if you can maintain it.

Complicated systems often work for a few days, then collapse as soon as work gets busy. The answer is a simpler and more forgiving process.

In the final part of the workshop, we will connect your calendar, tasks and communications through practical daily and weekly planning.

You will learn how to:

  • Complete the Daily Planning Sequence

  • Decide what deserves your attention each day

  • Conduct a useful weekly planning session

  • Adjust when unexpected work disrupts your plans

  • Keep your system clean without spending hours maintaining it

  • Return to the system quickly after a difficult week

This is where the individual parts become one complete system.

Each session lasts two hours.

The first part of each session will teach the principles and processes you need. The second part will be devoted to questions, discussion and real-world examples.

You will be able to ask questions throughout the workshop. This means we can examine the situations that usually cause productivity systems to break down: changing priorities, demanding workloads, overflowing inboxes and unpredictable days.

The purpose is to help you build a system you can begin using immediately.

If you cannot attend live, you will receive the complete recording, including the questions and discussions, shortly after each session.
